Organise clients, projects and the work inside them
Create a client with the billing details you need, then connect that client to a project. Projects hold the brief and context; tasks, sub-tasks and mini-tasks carry dates, priorities, status and sharing settings. A website project might contain copy, design and build tasks, with smaller review steps under each.
Keep revisions beside the deliverable
An account manager should not need to reconstruct feedback from several chats. Use the individual work item conversation for clarification, decisions and files. Invite clients with the client role and explicitly share appropriate content. Review sharing before adding confidential files; internal work should stay internal.
Prepare billing from work you can review
Maintain service types and sub-types in the rate card, classify tasks and enter agreed rates. In invoice preparation, select the client and date range, review eligible completed items, then choose an itemised invoice or consolidated Project Execution Charges. Review discounts and applicable tax calculations before issuing the invoice. A one-time invoice can also be prepared for a non-client.
- Save the client billing name and relevant invoice details.
- Classify billable tasks using the appropriate service type and sub-type.
- Select the client and billing period, then review the included completed work.
- Check amounts, taxes and invoice details before sharing the invoice.
Give access to the work, not the entire business
Rate cards are visible only to the workspace owner and people explicitly granted rate-card rights. Being a collaborator does not itself grant those rights. Keep client updates separate from commercial information, and use groups and task visibility to define what each person can see.
