1. Start with the client details
Save the billing name, address and other required invoice details in the client record. Link projects to the correct client. Check those details with the client rather than assuming the project contact is also the legal billing recipient.
2. Agree the service classification and rate
Maintain service types and sub-types in the rate card and use them to classify billable work. The owner controls rate-card access and can grant it to someone else. A collaborator’s project access does not automatically make commercial rates visible.
3. Select the client and period, then review
Choose the client and date range when generating the invoice. Review eligible completed task items and their rate matches. Confirm that the selected work belongs in that invoice and that quoted or exceptional work has the correct amount. Check for anything already billed before issuing another invoice.
4. Choose a useful presentation
Use itemised lines when the client needs to see each deliverable, or a consolidated Project Execution Charges line when an agreed summary is more appropriate. Apply the relevant discounts and taxes, then check the total. One-time invoices are available for recipients who are not saved clients.
Keep tax checks separate from software assumptions
Software calculations do not establish the correct tax treatment. Confirm the applicable classification, tax rate and required invoice particulars with a qualified adviser where needed.
