A useful project AI assistant helps you find and understand work you are already allowed to access. It should preserve permissions, point to relevant sources and make it easy to continue the conversation without treating an AI summary as a final business decision.

Start with the question you would otherwise chase

An assistant is useful when the question is specific enough to connect to real work. “What needs attention in this project?” or “Find the task about the client presentation” is more actionable than asking it to run the entire business.

Give the assistant a sensible job

Use AI to locate records, summarise permitted context and help organise your understanding. Use people and current records for approvals, client commitments and financial decisions. This makes the assistant part of the workflow without making it a substitute for responsibility.
